Planned Maintenance and Cyclical Upgrading
Planned Maintenance
First impressions are so important and visitors and parents will often judge your school by the condition of the grounds and the buildings. A good planned maintenance programme for the repair and upkeep of your estate is the best way to ensure that you can be proud of its appearance. It can also protect you against unexpected or unnecessary expenditure and by budgeting in advance you can forecast and spread your costs.
Your planned maintenance programme should include:
- the preparation of a condition survey of your buildings, concentrating particularly but not exclusively on the external envelope
- a phased programme for any essential repairs
- a programme for the ongoing maintenance of your buildings
- a planned and costed budget, enabling you to forecast your costs over the coming years
I have developed a series of linked spreadsheets for just this purpose. These will schedule work iems, allocate costs on a building by building basis and automatically include these costs in a school wide summary sheet. Once established new work headings can easily be added and costed and the individual building and the summary sheets will automatically be adjusted for cost. Thus the programme can be used to produce your Planned Maintenance budget year by year, without need for additional work.
Cyclical upgrading
Perhaps you have a number of classrooms or boarding houses that will all require internal redecoration or upgrading in the same year. Once all your buildings have sound external envelopes you can forward plan any internal improvements and by establishing a cyclical programme for the work your costs can be spread over a number of years and be properly budgeted.
I can:
- inspect your building stock to assess internal condition
- assess the life expectancy of furniture, flooring etc.
- agree a planned programme of upgrading
- prepare budget costs for the work and show this in an annualised spreadsheet format
- prepare plans and schedules of work for tendering purposes
This work can all be included in the same linked spreadsheet format as you Planned Maintenance programme, so that you will have a running annual budget which can easily be amended as necessary.
